Use the destination country’s address format, preserve the recipient’s full location details, and compare the Shopify order with the supplier export and final shipping label. For Japan and Australia, an address suggestion at checkout is one input to that review; it does not replace checking what reaches the parcel.
An international address format needs to work through your fulfillment process. A customer can supply an apartment number that appears in the order but disappears from a later file. The right question is whether the recipient-confirmed details reach the final label, not just whether the order looks correctly formatted.
Quick answer: Start with the country guidance below. Use the comparison worksheet to trace the same details through your order, export and label. If a change could identify a different recipient or location, ask the customer before sending that version to fulfillment. The worksheet is a proposed review method, not a report of a completed store test.
Start with an address-related complaint: a missing apartment or unit, a disputed delivery location, or details that differ between the order and label. Pull that order for the comparison below. If the complaint concerns product damage, quality or an inaccurate product description, investigate that issue first; a rise in returns alone does not identify an address problem.

Proposed review method; not a store test or delivery guarantee.
Use the destination’s postal guidance for the address structure, then check how your chosen shipping service represents those details. A postal layout and an ecommerce form serve different purposes: one shows a readable address; the other stores information in fields.
Here is a working comparison of the details to preserve. It is not a universal Shopify field mapping or a carrier API specification.
The country details come from the UPU Japan sheet , UPU Australia sheet and Australia Post’s addressing guidance . Use the linked sources for their complete layouts.
Keep the address meaning when fields change
Build your mapping from a confirmed address and the actual fields in your export. Do not decide that a detail is unnecessary simply because the destination system has fewer boxes. Identify where it belongs and inspect the output before using that mapping again.
Japanese address format: preserve each location detail
Keep the location components together before deciding how to arrange them in Roman letters. The UPU’s Japan guide shows both a large-to-small geographical sequence and a Roman-script layout that runs from smaller components toward the country. It also explains the significance of area and block numbering. Reversing individual words is not a reliable conversion method. Source: UPU Japan, pages 1–2.
Read the components before reordering
Separate the recipient’s name from the location details. Then identify the municipality or ward, the relevant smaller area and numbered components, the building information, postal code and prefecture where applicable. If a component is unclear, ask for clarification before moving it between fields.
The following is a blank editorial worksheet. It is deliberately not a complete, deliverable address:
[Recipient name]
[Building and apartment information, where needed]
[Confirmed numbered location and area]
[Municipality or ward and relevant prefecture]
[Postal code]
JAPAN
Use it to collect information, not to force every Japanese address into six lines. The accepted arrangement can depend on the address and the service producing the label. Keep the customer’s original text beside any working Roman-letter version until the intended location is clear.
A fictional example, component by component
The address below is invented for teaching. The ward, neighbourhood and building names do not exist, and the postal code is a placeholder. It is not a customer record, not a deliverable address and not the result of a store test. It follows the component pattern in the UPU Japan guide so that you can see what each part does.
000-0000 東京都架空区見本町2丁目17番10号 見本ハイツ305号室
A working Roman-letter version, laid out from the smallest unit towards the country as in the UPU’s Roman-script examples, could read:
Mihon Heights 305
2-17-10, Mihon-cho
Kakuu-ku, TOKYO
000-0000
JAPAN
Read the numbers from their written suffixes, not from the hyphens. In this example the customer wrote 丁目 , 番 and 号 , so 2-17-10 can be read as chome, ban and go. A hyphenated string on its own does not tell you that. The UPU guide notes that the same numbers can be written as 17–10 2–chome, that some town addresses show only a block and building number such as 10–23, that a rural address can use a single building number, and that an apartment number may be added as a further number, as in 2–17–10–153. Source: UPU Japan.
So if a similar order arrived as “Mihon-cho 2-17-10-305” with the apartment field empty, the question for the customer is specific: is 305 a room number, and if so, what is the building called? If someone has shortened the numbered part, ask what the shortened version represents. Do not add a number because a field appears empty, and do not remove one because it resembles an apartment number elsewhere.
The field column is an illustration, not a Shopify specification. The UPU rural example keeps Zaou-machi and Katta-gun on separate lines: do not drop the town or village when recording its district. Field labels and their order can differ with the country form, language, theme and any address app, and an export can combine or split the fields again. Check where your own order record actually stores each component before you rely on a mapping.
Editorial illustration. Component checklist, not a universal field order or carrier specification. Keep building and apartment details visible
During the handoff check, find the building or apartment information in all three records: order, supplier input and label. If it moved to another line but remains complete, record that mapping. If it disappeared, identify the first stage where it is absent.
For example, suppose an order has text in an additional address field and the supplier file leaves that column blank. That is a specific mismatch you can investigate. It is not enough to say that the label “looks Japanese” or that the postal code has the expected number of digits.
Ask the person who controls the export which input produced the label. Request a fresh output after the correction, and compare it against the confirmed address again. This is a suggested diagnostic sequence; it does not establish that every export tool behaves the same way.
If your shipping service requires a particular script or transformation, obtain its instructions. This guide does not establish a universal requirement to translate, romanize or remove Japanese characters.
Australian address format: match suburb, state and postcodeEditorial illustration of a street address, based on Australia Post and dated UPU guidance; not a completed lookup. Other postal delivery types need their own layout and the chosen shipping service’s acceptance.
Check the suburb or locality against the postcode, and retain any unit or level detail needed for the destination. Australia Post places the locality, state and postcode together in its address guidance; it also provides a postcode finder . Use that lookup to investigate a mismatch rather than choosing whichever suburb name seems familiar. Source: Australia Post.
The blank layout below is an editorial aid, not a real address or a carrier-specific template:
[Recipient or business details]
[Unit or level information and street address, as applicable]
[LOCALITY] [STATE] [POSTCODE]
AUSTRALIA
The UPU Australia sheet illustrates how level and delivery-location details can be represented. Treat its dated formatting guidance as postal context, not as a universal field-length setting for a current shipping application. Source: UPU Australia, page 1.
Preserve unit or level information
Read an address as a set of location details before comparing its lines. An export might keep unit information separate while a label combines it with the street line. Compare whether the meaning survived, not whether the line breaks are identical.
When a unit detail is missing, work backward. Is it present on the original order? Is it present in the file supplied to fulfillment? Does the label preview contain it but the printed output cut it off? Those observations point to different places to investigate.
Do not repair an ambiguous address by changing several fields at once. Write down the suspected mismatch, obtain confirmation where needed, and record the accepted correction. Otherwise, a later reviewer cannot tell which change was intentional.
A useful review note is specific: “The customer confirmed the unit detail; it appears in the order but is absent from the supplier input.” A note such as “Australian address fixed” gives the next person nothing to verify.
Keep the shipping destination separate from the billing information you use for payment checks. Ask about the delivery location when that is the missing detail; do not ask the customer to repeat unrelated account or payment information.
Finally, inspect the actual label output. A tidy address in your spreadsheet is only the input you reviewed. The parcel travels with the address produced by the fulfillment process.
Shopify address validation: check its country limitsEditorial illustration. Official documentation snapshot; no claim that this store or workflow was tested.
Shopify lists both Japan and Australia for its default address autocompletion. Its published list for more specific address-validation suggestions includes Australia but not Japan. Shopify also states that addresses outside the supported-country list still receive checks, although they may receive fewer specific suggestions. It would be wrong to describe Japanese addresses as completely unchecked. Sources: address collection preferences , admin address validation .
Autocompletion and validation have different coverage
The last row is an editorial recommendation, not an additional Shopify feature. It answers a different question: what happened to the address after it entered your workflow?
Also separate address problems from missing shipping rates. An address can be correctly written while another part of checkout needs attention. Our guide to Shopify shipping zones and rates covers that neighboring issue.
Review warnings without guessing
Shopify’s admin distinguishes warnings from errors. Its documentation describes reviewing an order’s shipping-address issue, accepting a suggestion or editing the details, and contacting the customer when the correction is uncertain. The option to mark the existing address as valid applies to warnings, not errors. These are documented actions, not steps tested in your store during this article’s preparation. Source: Shopify’s resolution instructions.
Before accepting a change, compare what it would alter. A spelling adjustment and a different building identifier deserve different scrutiny. If you cannot explain why the revised location is the intended one, ask the customer.
For the downstream review, preserve enough context to distinguish the original entry, the suggestion and the accepted version. Do not give the supplier two versions without identifying which one the customer confirmed.
If checkout presents conflicting suggestions, inspect your configuration. Shopify advises against running its shipping-address-validation setting and a third-party validation app simultaneously. Check what is active before treating a second app as a solution. Source: Shopify address collection preferences.
Packing materials at a workbench. Keep the confirmed order details with the instructions sent to the packing team. Photograph from Janson’s footage library; it does not demonstrate an address-validation test. Compare the order, export and carrier labelDownload the address comparison and pause-and-release worksheet (CSV) — fill it with authorized records; it contains no sample customer addresses.
Use the worksheet when a field changes or disappears, a correction is uncertain, or an integration has changed. When confirmed details already match across the order, export and label, keep that working process and reserve the comparison for an unresolved exception.
Editorial illustration. Blank editorial worksheet; redact personal data from public examples.
Compare one confirmed address across the records used for the same order. The purpose is to locate the first meaningful difference, then verify the corrected output. Compare one order through all three stages before changing the wider workflow.
Record the confirmed input
Choose an order that genuinely needs review. Record its identifier in your working file so that the fulfillment team can find the same order. Keep customer details within the systems and people authorized to handle that order; redact them from public troubleshooting posts.
Identify which version is the confirmed input. If the customer supplied a correction, keep the confirmation linked to the order. A spreadsheet downloaded before that correction should not silently become the instruction used for the parcel.
Use this blank record to compare the handoff:
The blank address handoff worksheet includes both the address comparison and the pause-and-release record. Fill in the actual values, who confirmed the hold, any destination-change clearance, old-version replacement, the checked output and the person authorizing release. The next section explains those checkpoints. “Not applicable” should mean the detail is not needed for that confirmed address; it should not conceal a value missing from the export.
Find the first changed field
A missing apartment detail is not only a formatting problem. It can also be a handoff problem when the order contains it but the export or label omits it. Start with the earliest mismatch. If the order contains the complete detail and the supplier input does not, investigate the handoff into that input. If the input is complete but the label is not, ask the team generating the label to inspect its mapping and output.
Keep the report narrow enough to reproduce. Include the field name, the expected information, the observed difference and the relevant order or file reference. “Apartment detail absent from the label” is actionable. “The integration is broken” is a conclusion the evidence may not yet support.
Where an integration is involved, ask its owner which fields are read and where they are written. Our Shopify integration guide provides the broader context. This check concerns the address handed over for the order, not a claim that you need a new integration.
Review the regenerated output
After a correction, inspect the newly produced label rather than the preview retained from an earlier version. Record which output you checked. Confirm that the team preparing the parcel can identify the accepted version, and that the earlier output is no longer in use, under its normal label-handling procedure.
A readable preview and a readable physical output are separate observations. If the concern is clipped text, inspect the relevant printed area at normal reading size. If you have only reviewed a preview, record that limit instead of marking the physical output checked.
For stores using several fulfillment locations, make sure the review follows the order’s actual fulfillment path. The order-routing guide explains the neighboring location decision. Address completeness still needs to be checked in the output used by the team preparing this parcel.
Confirm unclear details before releasing the orderEditorial illustration. Suggested review sequence; not a mandatory workflow shared by every carrier.
Ask the customer to confirm the delivery information when the intended correction is uncertain. Shopify makes the same recommendation for unresolved address-validation issues. The fulfillment team can then check whether that confirmed information reached its input and label. Source: Shopify admin guidance.
Ask one precise question
Identify the missing or conflicting component. If only the apartment detail is unclear, focus the message there. If the locality and postcode disagree, explain that mismatch without presenting your preferred location as an established correction.
Here is an original message template, not a quotation from a customer:
Subject: Please confirm a delivery detail for order [order reference]
Hi [first name],
We need to confirm [specific field or mismatch] before we send the
shipping details to fulfillment.
Please reply with the correct [field], including [relevant building,
unit or location detail]. If that changes another part of your delivery
address, please include the complete corrected address.
Thank you,
[sender name / store]
Adjust the wording to the order’s real status. Do not say it is waiting to be sent to fulfillment if that handoff has already happened. If a parcel has already been handed to a carrier, follow the applicable service’s correction process; this pre-release worksheet does not establish what changes remain possible. See the shipment-exception guide for the broader after-dispatch context.
Hold the old version while you wait for the reply
Sending the customer a question does not stop anyone downstream. If the order has already reached the person or team that prepares the parcel, work can continue on the old address while you wait. The arrangement below is a recommended operating practice, not a Shopify feature or a carrier service. How an order is actually held depends on the systems and people in your fulfillment path.
In the middle state, a request is not a confirmed pause. Record the executor’s actual confirmation, including who gave it and when. If no one can confirm the pause before the parcel may be packed, escalate to whoever owns that fulfillment relationship and say plainly that the parcel may leave with the old details.
Shopify notes that changing a shipping address after payment can trigger a tax recalculation. Check the actual order outcome instead of assuming the change has no effect. Source: Shopify admin guidance.
Resume only after any destination change is cleared, the old instructions are replaced, the new output is checked and a named person authorizes release.
Clarify the change. Establish whether the reply completes the same destination or requests a different delivery location. Get order-owner clearance where needed. A substantive destination change needs review by the person responsible for the order. Have that person check whether the change affects the order or amount due and resolve any resulting action. Customer confirmation alone is not approval to resume. Replace the old version. Send the cleared address to the fulfillment executor and obtain confirmation that the old instruction or label has been replaced, not kept alongside the new one. Check the new output and record release. Compare the regenerated output with the confirmed address, then record who authorized processing to resume and when.
Give the fulfillment team a clear change record
Separate the customer’s confirmation from the team’s implementation. The customer can clarify the destination; the team responsible for the export or label needs to verify the resulting output.
You can use this handoff template:
Order reference: [reference]
Customer-confirmed version: [record/reference]
Field to review: [field]
Observed difference: [expected detail and observed output]
Order status: [not yet sent / with fulfillment, not with carrier / with carrier]
Pause requested from: [executor]
Pause confirmed by: [name or role, date and time / not yet confirmed]
Change type: [same-destination clarification / different destination / unresolved]
Order-owner review: [not required for this clarification / reviewer, outcome and reference / pending]
Requested action: [confirm mapping / correct input / regenerate output]
Old instruction or label replaced: [confirmed by / not yet]
Person reviewing the output: [name or role]
Output checked: [reference]
Released to resume by: [name or role, date and time]
Remaining question: [question or none]
If the customer has not replied, leave the issue unresolved and keep any confirmed hold in place; silence is not permission to release. If a hold cannot be confirmed, escalate to the fulfillment owner. Keep unresolved questions visible. A colleague should be able to tell whether the destination is still uncertain, the order is paused while you wait for the customer, a confirmed correction is waiting to be applied, or the new output is ready for review and release.
Trace a field mismatch before changing the workflow
Record which detail differs between the order, supplier input and final label. Use a redacted comparison when you discuss the fulfillment setup.
Discuss your fulfillment setup
Parcel sorting area. The label used downstream needs to retain the confirmed delivery details. This photograph provides fulfillment context, not evidence of a Japan- or Australia-specific process. Check service restrictions before adding checkout rulesEditorial illustration. No store rule changed; postal guidance does not grant app or carrier capabilities.
Obtain the chosen shipping service’s requirements before adding restrictions to your store. A postal address can be a valid format without establishing that a particular service accepts that address type. Do not turn a limitation of one route into a blanket rule for every customer.
Shopify’s Checkout Blocks documentation describes rules for address types, postal codes, field requirements and character patterns. Its plan page reserves the relevant advanced features for Shopify Plus; the limited content-block access on lower plans is a different entitlement. Verify eligibility before planning this route. Sources: format-validation rules , Checkout Blocks plan requirements .
If you do have access, start with a documented requirement and assess its effect on your intended markets. Shopify cautions that overly restrictive patterns can block valid addresses. Avoid introducing a universal short character limit simply because one example address fits it.
Adding a rule is a store change, not a step performed by reading this guide. Check the applicable plan, permissions, service instructions and test procedure before making that change.
Questions about Japan and Australia addresses
How do I convert a Japanese address to English?
Identify the location components actually present: prefecture, municipality, area name, numbered location, building and room, where applicable. Do not add a missing hierarchy or assume every address uses chome, block and building numbers. If your shipping workflow needs a Roman-letter version, arrange those components from the smallest unit towards the prefecture, postal code and JAPAN, as in the UPU’s Roman-script examples. Do not reverse words mechanically or guess what hyphenated numbers mean; confirm unclear building, room or numbering details with the customer. The fictional example in the Japanese address section shows each step.

How should I position the postal code and country?
Follow the destination’s layout and label-service instructions. Australia Post groups locality, state and postcode together, with the country below for international mail; Japan has its own layouts.
Australia Post ; UPU Japan
Does Shopify validate Japanese addresses?
Shopify inspects addresses outside its supported-country list, which does not include Japan, but may provide fewer specific suggestions. Review the actual result before changing a confirmed address.

Final thoughts
Use an international address format to preserve the intended destination through the complete handoff. Keep the confirmation, identify any changed field, and check the output that will accompany the parcel.
Bring a clear handoff record to the conversation
Take one unresolved order and complete the worksheet before changing your process broadly. If you want to discuss the fulfillment handoff with ASG, contact the team with a description of the mismatch, or email janson@asgdropshipping.com . Share personal order details only through an appropriate private channel. Any proposed work still needs an agreed scope and the requirements of the chosen shipping service.
