Quick Answer: After a supplier price increase on a paid order, check which routes still meet the effective agreement, then compare their remaining costs.
Does refusing a substitute require a refund? No. Reject that proposal, then check whether the original item, date and total can still be honored.
Can I treat silence as agreement to a change? No. Hold the changed proposal, check original-agreement options and set a next contact time.
What changes after a paid $10 top-up on a $40 order? The captured total becomes $50. Reset the comparison time and refund amount; an unpaid top-up invoice leaves captured receipts at $40.
Filter candidates before comparing costs Decision method: a rejected candidate is not automatically a failed order. A waiting reply does not approve a change.
A customer paid you yesterday. This morning the supplier’s price is higher. You need to decide what to do with this order before changing prices for the next customer. In February 2025, EcoEase described two orders : shipping became too expensive on one, with no affordable match, so they refunded. On another, the supplier dropped the item; they bought through Amazon to keep the customer, losing the sale’s profit. The post does not establish either replacement quality or delivery success.
Sound familiar? The planned profit and today’s decision are different calculations. A cheaper remaining purchase can still mean a loss overall. And a cheap item that the customer rejected cannot fulfill their order.

Check where the order sits first
This guide covers captured customer payment, with nothing yet paid to the supplier. A placed purchase order can still exist within that window. If goods have shipped, or supplier money is awaiting recovery, use a separate transaction record; our guide to supplier delays and refund risk provides further reading by fulfillment stage.
Separate money from purchase status
Check three facts independently: customer payment captured; supplier payment sent; purchase order placed. Record the order identifier and the time you checked. Ask whoever handles purchasing to confirm the last two. A storefront’s paid label answers the customer-payment question; it is not evidence about a separate supplier transaction.
DSers’ awaiting-order mapping guidance distinguishes unplaced Awaiting Order, Failed and AliExpress-canceled orders from placed Awaiting Payment or Awaiting Shipment orders. Product mapping changes do not update those already-placed orders. They affect the product’s awaiting orders and future default mapping. Stop before switching a placed order and confirm its existing request with the supplier. An unpaid purchase is not permission to create a second one.
Did the product price, shipping cost or item itself change?
Put the original quote beside the revised quote before accepting the increase. Save both versions, including their dates and expiry terms. Compare the same SKU, variant, quantity and destination. If a line changed, identify whether it is a cost change or a different offer.
For a like-for-like illustration, split the old cost into $14 product plus $4 shipping, then keep the product at $14 while shipping rises to $12. That explains the new $26 total: the change is in shipping. These are assumed inputs, not a recovered supplier quotation. They do not establish availability, a service level or an arrival date. Those need the order’s own evidence.
Where the old quote has no visible expiry, record UNKNOWN rather than assuming it remains valid. Where the new quote uses another shipping method, put the methods side by side before describing the difference as a price increase. Save the supplier’s answer to the specific discrepancy; a general reassurance cannot fill a missing variant or delivery field.

DSers’ AliExpress cost-difference guidance ties displayed cost to the destination country and currency. It describes cost updates for Awaiting orders, not Pending or Fulfilled ones. For your comparison, read the current supplier offer itself. A faster service or different pack size is not a like-for-like price increase. Check that a cheaper shipping method still meets the agreed date.
The concern is real, but its frequency is unknown. Reddit user lynrita asked about supplier pricing :
“How do you handle Aliexpress Supplier that like to increase the price anytime possible?”
That is a merchant’s question, not a rate of price changes across suppliers.
Compare what fulfillment and a refund still cost
Choose the lower remaining cost only among valid routes. The right question is what each of those routes still costs at the same decision time. The From-Here Cost Check separates future outflows from money already gone on both paths. Keep the captured customer payment as background, counted once. Add costs each route introduces; subtract recoveries that are confirmed for that route.
Ad spend already paid is excluded only when neither route recovers it. Under Shopify Payments’ refund fee policy , the original card fee is not returned and a refund adds no transaction fee. Other payment arrangements need their own fee check below.
The original $40 / $26 / $15 example
This is an illustration, not a real store’s data. Assume one currency, USD, one item, no taxes, duties or partial fulfillment. The customer paid $40 including shipping through Shopify Payments. Nothing went to the supplier. The revised product-plus-shipping cost is $26; advertising already cost $15.

The remaining outflows are $26 and $40: a $14 difference in fulfillment’s favor. Neither is profit. With original card fee f, the full-order results are $40 − $26 − $15 − f = −$1 − f if fulfilled, and $40 − $40 − $15 − f = −$15 − f if refunded.
Now add $3 to fulfillment and assume a confirmed $2 refund-side fee credit: nets are $29 and $38. This is not a Shopify Payments entitlement. The customer still receives $40. The merchant needs $40 when sending it; the credit reduces eventual cost.
Reset the comparison after a captured top-up Assumed outflows with Shopify Payments fees; captured top-up changes the refund total.
A real seller’s reported numbers can point the other way. Single_Rice_407 posted on Reddit :
“My customer spent $129 and I would have to purchase the product for $201.”
The usual source was unavailable; a later edit said, “Update: order has been refunded”. That is one seller’s self-report, not an ASG order or independent confirmation of its outcome.

Any UNKNOWN cost, fee or recovery leaves the net UNKNOWN, never zero. A lower fulfillment net counts only after delivery and consent checks pass. Attach each amount’s evidence from the order card; a supplier estimate without confirmed shipping leaves that input unresolved.
The worksheet inherits the example’s narrow scope. Deposits, pending supplier refunds, taxes, duties, partial fulfillment, mixed payments and store credit need separate amounts and dates; do not silently treat recoverable money as lost. Uncaptured top-ups are not received funds. The example does not use speculative customer lifetime value to cover a loss.
Build a separate fulfillment column for each viable candidate. Do not add the $22 and $26 alternatives together as though both will be purchased. A changed delivery service, inspection requirement or packaging requirement belongs to the candidate that introduces it. Before accepting a quoted total, ask which of those items is included. A blank fee cell and a confirmed zero are different evidence states. Preserve the blank as UNKNOWN until it is answered.

Before you buy from another source
The strongest case against buying the cheapest item is a customer who rejected its changed specification. Reject that candidate not because a refund is cheaper, but because it cannot fulfill the effective agreement. Check whether another source still meets the original agreement, or a change the customer expressly accepted and applicable rules allow. Platform editing and a customer’s yes are not universal legal permission; this guide does not establish consumer rights for every market.
Before opening a store, ashwee3 described a substitute supplier :
“they dont [sic] have all the same colors/styles available”
That pre-launch example illustrates why an available listing may still be unsuitable. Check variant, material, dimensions, pack quantity and specification against the order, not a similar-looking thumbnail. For clothing, color and binding details can matter even when the garment’s general shape looks familiar.
Existing supplied garment-detail frame. It illustrates a visible detail to compare; it is not proof of matching suppliers, product quality or a real order outcome.

If this candidate fails Waiting is a hold on the changed proposal; silence is not consent
Buy only after every applicable check passes. If only the source changes, with the item, date and customer total unchanged, there is no proposed product or price change to accept; still check the order terms. A new source’s promise also needs evidence that it can supply the specified quantity.
Use four situations to test the exit. These extend the stated illustration, not a customer case history.
Different color rejected: the $22 candidate is unavailable to this order, but the original color remains purchasable for $26 on time. Compare that $26 route with refunding; rejection alone does not force a refund.
Top-up rejected: if the merchant can buy the original item for $26 and absorb the increase, the original $40 agreement can still be fulfilled. Do not invoice again as though refusal were consent.
No compliant source remains: if neither the original agreement nor an accepted, permitted change can be delivered, refund rather than buy an unsuitable item. Lower cost does not repair that missing path.
No customer reply: hold the changed proposal and check original-agreement options. Record a next contact/check time while the promised date remains achievable. If no valid path remains, resolve the refund under the applicable terms and rules; do not wait indefinitely or invent a universal waiting period.
Four candidate decisions and their remaining routes Illustrative branches apply the effective agreement before the cash comparison; a pending reply never approves a changed item, date or total.
When asking about a changed option, describe the exact difference the customer would receive. Show the new color or specification, the proposed date and the total, then identify how they can decline. Save their actual reply, not an internal note saying the customer should be fine with it. Recheck the selected quote after consent: an accepted proposal whose stock or delivery window has expired is no longer ready to purchase.
Asking the customer to pay the difference
You can ask; the customer decides whether to accept the proposed change. Explain what changed, the complete new total and any delivery difference. Keep the reply with the order. If the customer refuses, return to the remaining original-agreement options above.
For an eligible unfulfilled order, Shopify’s editing-order guidance permits an updated invoice when an edit creates an additional balance. This is one collection route, not a right to raise the paid price. An invoice sent is not a payment captured. Confirm collection before treating the extra money as received.
Shopify’s order-editing considerations exclude orders paid with Shop Pay Installments. App-created orders are editable by their creating app; app-created draft orders later converted into orders can also be edited in the admin or another app. Some apps may miss edits, so check the fulfillment app’s resulting order.
Reset the worksheet after a top-up clears
Suppose the original $40 was captured, then the customer expressly agrees to a $10 increase and that second payment is captured. At this new comparison time the captured total is $50. For a full cancellation with no earlier refund, the refund comparison starts at $50, including that $10. It cannot remain at $40.
With the supplier unpaid, its confirmed remaining charge still $26, and no new future fees or recoveries, compare $26 versus $50. Any fee already charged on the top-up needs its own entry: exclude it from the difference only if it is equally unrecoverable on both routes. If its refund treatment is unknown, keep that part UNKNOWN.
Record both capture IDs and their fees, any earlier refund and the new timestamp. An unpaid $10 invoice leaves the received total at $40; it does not create a $50 refund. If any supplier payment occurred meanwhile, stop using the unpaid-supplier example and rebuild from the actual remaining transactions.
Keep the earlier $40 comparison as a dated record rather than overwriting it. The $50 version answers a later question with later information. For this full-cancellation illustration, reconcile the two receipts to the total being returned, so the top-up cannot disappear between a customer email and the refund record. If an earlier refund exists, subtract it when establishing what remains due; do not pay the same amount back twice.

Separate Shopify transaction fees from gateway processing fees, and fee credits from available cash. Read the policy on the relevant row before completing Table 2.

Funding blocked or refund pending
With insufficient Shopify Payments funds, recovery can involve bank debits or later payouts depending on location. At the negative-balance threshold, refunds may remain pending until the balance clears; use the applicable funding instructions . Check the actual balance and funding route before promising completion. A future fee credit cannot fund today’s refund.
Follow Shopify’s pending-refund troubleshooting : check Timeline, payment method, amount, errors and balance. For an unexplained failure, or excessive pending time without a negative balance, contact support with those details. Bank guidance of up to 10 business days is not a guarantee for a funding-blocked refund.
Assign one person to the unresolved transaction. Record what must happen next, the next update time, and the customer message actually sent. Keep it open while funds are blocked. If a processed refund has not reached a Visa or Mastercard customer, check for an ARN and use it for bank tracing.
Refund status determines the next check Check refund status before selecting the next action.
Funding also matters on the purchase side. If the $26 route is affordable in eventual cost but cannot be paid before its quote or delivery window expires, it is not ready to execute. Identify a confirmed funding time and recheck availability. If that cannot support the effective agreement, return to the remaining options. A refund funding problem needs its own resolution; it does not authorize sending an unaccepted substitute.
Execute the choice and verify the result
A chosen route needs a checked result. Save the adopted quote, consent status and responsible person before releasing a purchase or refund. Record only what the evidence confirms; a click or outgoing message is an action, not the completed outcome.
Change this order, or change default mapping?
For one eligible order, DSers’ Action-Edit Supplier is under Open Orders → Awaiting order, Canceled or Failed. Paste the new URL, choose the variant and shipping method, then save. It changes that order, not product mapping. Its “Synchronize Mapping in My Product” option allows later mapping updates to overwrite the temporary selection. Leave that option unchecked for this temporary choice, then reopen the order and compare it with your evidence card.
DSers’ AI recommendation guidance describes future mapping without changing existing placed orders; compare product plus shipping. Its Agent instructions use Open Orders → Agent → Awaiting Orders. For a supplier cancellation , check the reason: payment timeout may allow the same supplier; stock, destination or product removal requires another source. Agent orders start with contacting the agent.
Verify the selected SKU, quantity, shipping method, charge and supplier acceptance against the agreed route. Prevent the old request and replacement purchase from both proceeding. Keep the subsequent dispatch or delivery check assigned; accepting a purchase does not prove delivery.
Refund the customer and stop the supplier request
Shopify’s cancellation guidance distinguishes refunding to original payment, store credit and Refund later. Refund later sends no money then. In April 2024, wonena-dev asked about a canceled order : “I sold an item that I ‘ve [sic] run out of stock.” The cancellation message said the money had not returned. That question illustrates why cancellation alone is insufficient evidence.
Check item, quantity, shipping paid and the full refundable total. Shopify removes refunded unfulfilled lines from that order; partial refunds still permit a full-value chargeback. Refunding orders . Confirm separately that the supplier or app request stopped: apps can miss removed items, as Shopify’s editing considerations warn.
Close your decision record with the chosen quote, effective agreement, both payment/capture IDs where relevant, purchase or refund reference, supplier stop confirmation, refund status, owner and unresolved items. Use three truthful outcomes: fulfillment evidence checked, refund evidence checked, or open with a named next action. If payment is pending or supplier cancellation is unconfirmed, use the third.
Refund and supplier stop One completed result leaves the other unchecked.
For the $40/$26 illustration, a useful handover would say: original item and date retained; customer total remains $40; no changed proposal requiring consent; chosen supplier quote $26; supplier payment not yet sent. That describes a decision ready for execution only after the quote and stock checks are confirmed. It does not say the order has shipped. The real purchase reference and acceptance evidence must be added after purchasing.
With a pending refund, money remains open. With an unconfirmed supplier stop, purchasing remains open. Write the remaining action in either case, supported by the actual transaction or supplier reply. These are illustrative handover states, not claimed customer outcomes.
Before the next DSers price change notification
Price alerts belong in prevention, alongside the manual quote check. The DSers price alert monitors mapped product cost. Its frequency guide lists Enterprise checks within 6 hours and Basic every 24–36 hours. Automatic Price Update separately changes future store prices under paid-plan rules after activation.
In February 2023, Elliot77 asked about a DSers pricing rule : “when I go to my store nothing has changed”. That historical question does not prove a current malfunction.
Keep today’s product price, shipping fee, quote validity, customer delivery date and payment-provider fee terms together before buying. If a quote expires before purchase, seek confirmation again. Record whether repeated mismatches came from product cost, shipping, variant selection or stale information; those are different prevention tasks.
For future pricing, see rechecking landed cost after US import-duty changes . For recurring supplier problems, see when to replace a supplier or agent . These address later pricing and relationships, separately from resolving the present order.
For a sourcing enquiry, send the product link, destination, quantity and packaging needs. The ASG quote comparison worksheet is related reading on quote comparison. This guide makes no price-lock or difference-payment promise.
Common questions about a supplier price increase after payment
What would you do if a customer wanted an out of stock item?
Check matching sources under the effective agreement. Rejecting one color or price proposal does not eliminate another valid route. Hold changed proposals while awaiting consent; silence is not acceptance. If no permissible delivery route remains, arrange the refund and verify the result.
Does a supplier price alert change an already-paid order?
The linked DSers alert and automatic-price-update pages do not establish that. For an agreed, captured top-up, reset the comparison timestamp and captured/refundable totals. A sent invoice alone does not change cash received.
Are payment processing fees returned when I refund?
Use Table 4 for your payment setup, country and refund route. Keep processing fees separate from Shopify transaction-fee credits. A pending refund remains an open item; check its funding, status and next action in the cash-availability section.
Can I switch suppliers for an order already waiting?
Check whether the purchase is already placed. DSers’ product mapping rules exclude placed Awaiting Payment and Awaiting Shipment orders from mapping updates. For a single eligible order, follow the execution section and rerun the item, date, total and consent checks before purchase.
Final thoughts
A supplier price increase after payment calls for two separate checks: what can still be delivered as agreed, and what each valid route still costs. Keep the full-order loss visible without charging common sunk costs to the decision twice.
Use the order evidence card, one comparison time and a clear completion record. If the last line still says pending, waiting or UNKNOWN, write who will resolve it and when the next check happens. That gives the next person a usable handover.
